Our 2007 AGM is to be held on the WED 21st FEB.
DOORS/BAR open at 7.30 pm.
MEETING Commences 8.00 pm PROMPT!

If you signed up as an ACTIVE MEMBER this means you are willing to attend our 2 General meetings per year. If you have been a member for the past 6 months you are also eligible to vote.

PRESIDENT (Office Bearer)
Job Description
• has overall responsibility for the successful running of the Theatre.
• will chair Executive Meetings and see that they are held at least monthly.
• shall keep up to date about the financial, artistic and social well-being of the Theatre and keep department heads aware of any problems.
• is the visible head of the Theatre and should be available to liase with Community and Government representatives if necessary.
• shall be familiar with the constitution of the Theatre and also with the correct rules for running a meeting.
• should liase between Theatre personnel that are having differences of opinion and impartially assist them to come to an agreement.
• in a crisis the President or a person appointed by the President will step in for any departmental manager who is unable to perform their duties.
Selection Criteria
• must have served on the Executive Committee for at least twelve months at some stage.
• should have qualities of leadership and be able to communicate with a broad spectrum of the membership and community in a positive, confident and friendly manner.
• should have been a financial member for at least one year in the past three.

VICE PRESIDENT (Office Bearer)
Job Description
• is expected to deputise for the President when he/she is away and will then have the same responsibilities as the President.
• is expected to relieve the President of part of his/her workload should it become onerous.
Selection Criteria
• should have the same communication and leadership skills as a Presidential candidate.
• should have been a financial member for at least one year in the past three.

SECRETARY (Office Bearer)
Job Description
• is responsible for taking minutes at all Executive and General meetings, for the safe storage of those minutes, for their duplication and distribution to members of the Executive, and for reading them at subsequent meetings as asked by the Chairperson.
• shall clear all mailboxes and quickly distribute the contents to the appropriate departmental managers as necessary.
• shall write such letters as directed by the Executive, see they are posted, keep a record of correspondence and store all correspondence safely.
• will draw up agendas for all Executive and General meetings and distribute them as directed
Selection Criteria
• should have basic secretarial skills.
• should have access to a computer for composition of minutes, correspondence etc.
• should have been a financial member for at least one year in the past three

TREASURER (Office Bearer)
Job Description
• must keep an up to date record of the finances of the Theatre.
• is responsible for the paying of all accounts and the management of the bank accounts including the updating of signatures as necessary.
• will draw up a budget for each show at the Second Production meeting and present this to the Executive.
• will give a copy of the budget to the Director and the Production Liason Officer.
• will be responsible for banking all monies received and for reimbursing expenses incurred.
• will give a financial report at each Executive and each General Meeting.
• will see that the books are audited each year.
• will oversee the duties of the Membership Officer.
Selection Criteria
• should have basic bookkeeping skills.
• should have been a financial member for at least one year in the past three.

PRODUCTION MANAGER (Office Bearer)
Job Description
• is responsible to the Executive for the day to day supervision of the artistic activities of the Theatre.
• has the highest priority in the selection of future seasons to present to the Executive for approval. The selection will be made by taking into account the limitations of the Theatre, our clientele, the past record of submitting directors and the overall balance of the years’ programmes.
• will call and chair Production Committee meetings at monthly intervals or more frequently if required.
• will give reports to the Executive at Executive meetings and will give reports to members at Annual and General Meetings.
• will appoint a Production Liaison Officer for each production and make sure that person is aware of his/her duties and responsibilities.
• is responsible for all bookings for the use of the Theatre and must keep an up to date diary for the purpose.
• will see that minutes of production meetings and a record of all plays submitted for selection and the outcomes are kept.
• will ensure that each season reaches a reasonable artistic standard and will inform the Executive Committee if one fails to do so.
• will organise "club" nights as is convenient.
Selection Criteria
• should have a broad knowledge of theatre and have experience in all aspects of production, especially direction.
• should appreciate all types of theatre.
• should be well organised and be able to liase easily with people in general.
• should have been a financial member for at least one year in the past three.

THREE ORDINARY COMMITTEE MEMBERS
Job description
• must attend Executive meetings.
• will take on specific tasks if so requested by the Executive
Selection Criteria
• should have been a financial member for at least one year in the past three.

FOUR PRODUCTION COMMITTEE MEMBERS
Job Description
• will select adjudicators for Theatre awards.
• will read plays that are submitted and give their assessment of these plays to the Production Manager.
• will vote on the selection of plays having taken into account the genre, director, Theatre limitations and cost.
will attend Production Committee Meetings as required.
• will take it in turns as decided to become a Production Liaison Officer.
• will assist in supervising events organised by the Production Committee.
Selection Criteria
• have a broad knowledge of Theatre.
